How to Delete Blank Rows in Excel — Review Every Row First
To delete blank rows in Excel without losing rows that hold data, use Power Query’s Remove Blank Rows: it removes only rows in which every cell is empty. To review each empty row before it goes, use the free tool below. Uncheck any row you want to keep, then download a separate cleaned copy of your CSV or XLSX file.

CSV or XLSX up to 10 MB, 50,000 data rows, 200 columns and 500,000 cells. Exports contain one sheet's values. XLSX numbers and booleans keep their types; formulas, styling and other sheets are not included.

Loading the local file tool…What counts as a blank row in Excel?
A blank row has no value in any column of your table. A row with a missing customer name but a valid order ID is not blank, so it stays. Excel treats a cell that holds only spaces as text, so a row that looks empty may not be blank. Exports and copied tables often contain empty rows between useful records. Some are padding and some are intentional separators, so the tool shows candidate row numbers before anything is deleted. Empty cells inside rows that still hold data are a different task, covered by the blank-cells guide linked below.
How to delete blank rows in Excel safely
- Save a copy of the workbook, then select any cell in the data you want to clean.
- Choose Data → From Table/Range to open the data in Power Query. A plain range is converted to a table first; select My table has headers if the first row contains column names.
- In Power Query, choose Home → Remove Rows → Remove Blank Rows. It removes only rows in which every value is empty or null; inspect the preview before you load the result.
- Choose Home → Close & Load. The result loads to a new worksheet by default and the original data stays the same, so you can compare the two.
Why Go To Special can delete rows that contain data
Be careful with Go To Special → Blanks → Delete Entire Row: Blanks selects empty cells, including cells inside otherwise populated rows. Deleting those entire rows can remove real data. If you do not use Power Query, a helper formula such as =COUNTA(A2:F2)=0 can identify fully empty rows across your actual data columns; review the TRUE rows before deleting them. COUNTA treats spaces and formulas returning an empty string as content.
Microsoft: filter data and remove blank rows in Power QueryHow to delete thousands of blank rows at once
Deleting empty rows one by one does not scale. In Excel, Power Query’s Remove Blank Rows removes them all in one step. Without Power Query, fill the COUNTA helper column down, filter it for TRUE and select the visible rows. Then choose Home → Find & Select → Go To Special → Visible cells only, right-click the selection and choose Delete → Entire row.
This tool finds every fully blank row in one pass, lists each candidate row number and removes them all from a cleaned copy in a single approved run. It handles CSV or XLSX files up to 10 MB, 50,000 data rows, 200 columns and 500,000 cells in your browser, and you can uncheck any row you want to keep first.
Microsoft: find and select cells that meet specific conditionsClear extra empty rows below your data
Excel always shows empty rows below your data. They become a problem when Excel still treats them as used, usually because empty cells there carry formatting; that makes the file larger than necessary and can add printed pages.
- Press Ctrl+End. Excel jumps to the last cell that contains data or formatting.
- If that cell sits below your data, click the row heading of the first empty row under your data, then press Ctrl+Shift+End.
- On the Home tab, in the Editing group, select the arrow next to Clear, then select Clear All.
- Save and close the workbook. When you open it again, the last cell should be the last cell of your data.
Clear All removes contents and comments as well as formatting, so check that the selected rows hold nothing you need.
Microsoft: locate and reset the last cell on a worksheetReview the rule before it runs
The default rule removes only rows whose cells are all empty. You may explicitly treat whitespace-only cells as empty too. Values such as 0 and false, partially populated rows and nonempty text stay. The tool cannot know whether an empty row is an intentional separator: uncheck that row in the preview to preserve it, then approve the final count.
After confirmation, download CSV or XLSX plus a PDF summary and JSON audit. The audit records the rule, removed source-row numbers, and file hashes. Your original file stays separate from the result.
Frequently asked questions
How do I delete blank rows without deleting populated rows?
Delete only rows where every cell is empty. In Excel, use Power Query’s Remove Blank Rows or a COUNTA helper column instead of Go To Special → Blanks → Delete Entire Row. In this tool, the default rule already requires every cell to be empty, and you review each row number before deletion.
How is deleting blank cells different from deleting blank rows?
Deleting blank cells with Delete → Shift cells up moves the values below into each gap, so a value can end up in another record’s row. Removing only fully blank rows leaves every other record intact. To find, highlight or fill blank cells instead, see the blank-cells guide.
Does TidyX delete a row when only one cell is blank?
No. A row must be empty in every column under your selected setting. A single remaining value, including 0 or false, keeps the row.
Are cells that contain only spaces treated as blank?
Only if you enable Treat whitespace-only cells as empty. This covers spaces, tabs, line breaks, nonbreaking spaces, zero-width spaces and BOM characters. It does not trim or change values in rows that remain.
Can I keep an intentional blank separator row?
Yes. Uncheck the candidate row before approval. The tool cannot automatically distinguish an intentional separator from accidental padding, so that choice stays with you.
Is it free, and what happens to formulas?
The tool is free, needs no login and processes the file in your browser. File contents are not uploaded or sent to an AI model. It uses saved formula results when available and never recalculates formulas. Missing formula results and error cells must be resolved first. XLSX downloads preserve the selected sheet’s value types and number formats. CSV fields stay text. Formulas, styling and other worksheets are not included.
